Retail - New Requests My Calendar
This job aid provides an overview of and outlines the process for submitting request options from the My Calendar screen.
Requesting Time-Off
- Go to: Main Menu > My Information > My Calendar > New Request.
- Select the time off option under ‘New Request’.
- Choose the type of time off requested from the provided list.
- Select the date(s) requested.
Note: You may click on multiple days in your request.
- Enter 12:00 AM as the start time.
- Enter the number of hours you would like to use per day in the duration box using the correct format. (EX. 08:00)
Note: All hours must be entered in full hour increments.
- Reselect the type of request.
- Once all information is entered, select ‘Submit’ at the bottom of the screen. Select 'Preview' to review the request before submitting.
Note: The request will then be routed to your Kronos administrator for approval.
Note: Time off can also be requested from the home screen tile.
Requesting to Swap Shifts
- Go to: Main Menu > My Information > My Calendar > New Request.
- Select the ‘Swap’ option under ‘New Requests’.
- Select the day with the shift that you would like to swap.
- Select the shift.
- A list of available associates will populate that you could potentially swap shifts with. These associates are pre-approved to swap shifts.
Note: Other associates will be rated on likelihood of accepting your request, and the frequency of your collaboration.
- Select the associate and shift you would like to swap.
- Select ‘Submit’. (The request will then be sent to the selected associate).
Additional Processes
- If the associate accepts the shift swap, the request will be routed to the Kronos Administrator for the final approval/denial. Once the Kronos Administrator updates the status of the request (approve/deny/pending) you will receive a notification in your control center.
- If the request has been approved by all parties, it will be reflected in your schedule.
- If the associate declines the shift swap, you will receive a notification in your control center informing you of the decline. You can then follow the process to request a different shift swap.
CAUTION: You are responsible for your scheduled shift until an official approval has been received and it is reflected in your schedule.
Request to Cover a Shift
- Go to: Main Menu > My Information > My Calendar > New Request.
- Select the ‘Request to Cover’ option under ‘New Request’.
- Select the day with the shift that you would like to have covered.
- Select the shift.
- A list of available associates will populate that could potentially be able to cover the shift. These associates are pre-approved to cover your shift.
Note: Other associates will be rated on likelihood of accepting your request, and the frequency of your collaboration.
- Select the associate you would like to request to cover your shift.
- Select submit. (The request will then be sent to the selected associate).
Additional Processes
- If the associate accepts the shift swap, the request will be routed to the Kronos Administrator for the final approval/denial. Once the Kronos Administrator updates the status of the request (approve/deny/pending) you will receive a notification in your control center.

Temporary Availability Change Request
Note: This option will not change your permanent availability. This option is to change your availability for a select number of days.
- Go to: Main Menu > My Information > My Calendar > New Request.
- Select the ‘Availability Change’ option under ‘New Request’.
- Select the day(s) for which to change your availability.
- Update the selected dates new availability using the drop down under ‘Status’.
- Ensure the ‘Merge with Previously Scheduled Availability’ option is selected.
- Once completed, select review. If your temporary availability is correct, select submit. Select 'Preview' to review the request before submitting.
Note: Prior to submitting your request, verify the date(s) that have been selected.
My Calendar Key
Purple Square: Scheduled shifts in home location.
Blue Square: Scheduled shifts in transferred location.
Green Square: Pay codes, such as approved vacation.
Cancelling Requests
- Select the ‘Requests’ tab in my calendar.
- Select the ellipses next to the desired request.
- Select ‘Cancel Request’.
Note: If the request has already been approved, a cancellation must be submitted for review and approved.
