Schedule Time Off

Managers use Enter Time Off to enter absences on behalf of employees, bypassing the request and approval process. This process can automatically calculate the correct duration of the absence based on the employee’s schedule for the day, or a specified duration can be entered.
To enter time off:
- Right-click an employee name to open the shift glance menu.
- On the shift glance, select Enter Time Off. The Time Off panel opens.
- Verify the employee name in the Assigned To You can change the employee by selecting another from the Assigned To menu.
- Select the Type of Time Off requested and select Apply.
Note: Various types of time-off may be available, such as vacation, sick time, PTO, or other absences. See the section below, About choosing time-off types for a description of the available time-off type options.
- Select from the following:
- Dates — Use the calendar to identify one or more dates, consecutive or not. You can use shift-click to select to specify a range of consecutive dates. To remove a previously selected date from your selection, select it again.
- Duration — Select Hours, then enter the number of hours taken for the time off for the selected date.
- Select from the following paycodes to Deduct from.
- Vacation - 4hr, 8hr, or 12hr timeframe
- Floating Holiday - 8hr timeframe
- Sick - 1hr. increments up to a maximum of 12 hours
- Unpaid Day Off - 1hr increments up to a maximum of 12 hours
- (Optional) Select Review to see the options you have selected and add comments and notes if necessary.
- (Optional) Add a Comment to add a comment and type a note.
- (Optional) Select Add if you want to include another period or paycode or duration in this time-off request.
- Select Submit. The request is automatically approved and the change to the schedule is saved.
Choosing time-off types:
When selecting a Time Off Type in Step 4 above, review the following options and descriptions:
- Professional Office – applies to professional hourly employee accruals.
- Vacation Increments – applies to production hourly employee accruals.
- Professional Office w/ shift premium amount - applies to professional hourly employee accruals who should also receive respective shift premium amounts.
- Vacation Incements w/ shift premium amount - applies to production hourly employee accruals who should also receive respective shift premium amounts.
Note: You will only see your respective location's shift premium time-off type amounts.
